A normal to-do list is good for one-time tasks. But it does not always show the work that keeps coming back. That was the part that used to make my work feel heavier than it looked. The list would say “reply to client” or “update sheet,” but the real problem was that the same type of task was repeating every day. A better list is a repeated-task list. I’d write down: What do I do more than 3 times a week? What always waits for my attention? What could be turned into a checklist? What needs the same decision every time? What keeps breaking when I’m busy? Then I separate tasks into: One-time work Repeated work Waiting-for-someone work Work that needs a better process The biggest insight: If the same task appears again and again, the solution is usually not more discipline.
